Introduction

Why SmsToMailbox?

SMS is still, as ever a frequently used form of communication.
Mobile phones have evolved, from heavy, huge monsters to small and cool styled hightech toys.
But writing on tiny keyboards – it does not matter whether oldstyle hardware or modern touch screen keyboard – is still really painful.
Wouldn’t it be easier to answer SMS via your PC? Especially as there is an accurate keyboard available?
Now even that more and more people in our modern society spent lots of time at their PCs at home or at work.

What’s SmsToMailbox?

SmsToMailbox allows you to get a copy of your received SMS/MMS as well as notifications about incoming calls delivered to your email account.

In the Pro version it is also possible to answer these emails from your PC’s email client and send out SMS through your phone. The Pro version also forwards outgoing SMS and notifications of outgoing calls to your email box (this function uses undocumented internal API functions of Android™ and therefore may not work on all devices or on future Android™ versions).
Optionally these logs can also be posted to a calendar of your choice. You can also get camera images forwarded as email.

SmsToMailbox Lite (receiving SMS) works with all common email providers (like Gmail) & email clients for receiving SMS.
The Pro version (sending & replying) requires an email account with IMAP support.

Requirements

Lite Version:

A mobile phone with Android™ OS (1.5 Cupcake or above) and an email account.

Pro Version:
Additionally an email account with IMAP support (like GMail with the IMAP function enabled).

The Lite version

Receiving SMS by email

If you have configured the application correctly you will get a copy of any new received SMS / MMS by email.
Answering by email is only available in the Pro version.
After installation and first start a setup wizard will guide you through the basic configuration.
As a special feature you can let the location at which the message was received attached to the email.

Threaded conversations

You can get the emails from SmsToMailbox displayed in threads. This requires a threading aware email application. GMail for instance is capable of displaying emails threaded.

SmsToMailbox offers the option to start a new thread each day per contact, currently this is only known to work with GMail.

Threaded view is disabled per default. You need to enable it first (please see the documentation on the preferences below).

The Pro version

All Lite features are also available in the Pro version.

Sending SMS by Email (Pro version only)

Sending SMS by Email is really easy.

You have to send yourself an email with ‘SMS: name,number,…’ as subject. Please mind the colon!

The mail you’ve sent to yourself stay a while in your mail inbox until it will be processed by SmsToMailbox Pro and send out from your phone. Per default you will get a confirmation mail once the SMS was sent out.

Please pay attention to use the email address (as sender and receiver) which you have configured via the wizard or in the preferences (Menu > Configuration > Manual Server setup > EMail address).

You can specify recipients by number (e.g. +1 123 456 7890) or by contact name (e.g. Bill Cohan).
Multiple recipients have to be separated by a comma (,).

You can use wildcards (*) in names, e.g. Bill*. If you have only one Bill in your contact list, the SMS will be sent immediately to Bill. If there are more than one matching entry in your contact list you will get a failure email in reply. In this mail SmsToMailbox Pro will provide you a list of possible receivers (a list of all Bill’s):

If there are names which can not be found in your contact list you will also get an failure email in reply and the whole message will not be sent.
When sending a new SMS from your email account by not directly specifying the contact number but a contact name instead and this contact has multiple numbers assigned SmsToMailbox Pro automatically prefers the contact’s mobile number.

You can disable this behavior by disabling the following preference switch
Menu > Configuration > Service settings > SMS sending options > Prefer mobile number.

If you want to send SMS to numbers which are not in your contact list, you have to disable the following preference switch
Menu > Configuration > Service settings > SMS sending options > Send to contacts only
Please take care! This is a security feature:
Normally all SPAM filters around should recognize when an external SPAM mail which is not originating from your mail server is send to your account with your email address as sender and your email address as recipient. However if SPAM filters are faulty or disabled these mails would land in your inbox and then being send out via SmsToMailbox Pro if the spammer is using the “sms: …” subject line. To hinder this from the beginning we’ve disabled the sending to unknown numbers per default.

Replying to a received SMS (Pro version only)

Just use the ‘reply to’ function of your email client.
Remove the complete text and type your reply message.
Send it … the mail then stays a while in your email inbox until it will be processed by SmsToMailbox Pro and send out through your phone. Per default you will get a confirmation mail once the SMS was sent out.

Image forwarding (Pro version only)

With this feature camera images are automatically forwarded to your email account.
Please take into account that this causes a certain amount of traffic depending how many camera images you create and their quality (size). A flat-rate data plan should be prerequisite here.

Camera image forwarding is disabled per default. You need to enable it first (please see the documentation on the preferences below).

Calendar posting (Pro version only)

(This function uses undocumented internal API functions of Android™ and therefore may not work on all devices or on future Android versions.)

With the calendar posting you get a all the logs from SmsToMailbox posted to a calendar of your choice.
Please note that only calendars which are visible in your calendar app are seen in the SmsToMailbox preferences. So when you add a new calendar you need to ensure that it is at first available in the calendar app before assigning it in SmsToMailbox.

Calendar forwarding is disabled per default. You need to enable it first (please see the documentation on the preferences below).

Setup Wizard

While the first application start the setup wizard appears to guide you through the configuration process.

Later you can always rerun this wizard by pressing Menu > Rerun Wizard.

Email provider setup

Choose your email provider from list.

You can choose between GMail and *OTHER PROVIDER*.

If you choose other provider please continue here

Email account details

Insert email address (to which your SMS/MMS shall be delivered) and the according password for your mail server.
Continue here

Other provider

If you choose other provider you have to insert the needed data on the next three pages.

Email address

Insert your email address.

SMTP setup

Fill in the required data
SMTP server: SMTP server name
SMTP uses SSL: If your SMTP server supports SSL check the option
SMTP port: normally 25 (no SSL) or 465 (SSL)
Please pay attention that the port number examples used here are the standard port numbers.
Maybe your email provider uses another configuration. Ask your provider for the correct values.
By default your email address will be taken as login user name. If you want to provide a different user name just enable the ‘Use sparate SMTP user name’
and insert in the ‘User name’ field.

IMAP setup (Pro version only)

IMAP server: IMAP server name
IMAP uses SSL:
If your IMAP server supports SSL check the option
IMAP port: normally 143 (no SSL) or 993 (SSL)
If you want to use different login data for your IMAP host as you use for your SMTP host, please check ‘Separate user for IMAP’.
Default by most providers is to use same login data as for SMTP host. So if you are unsure leave the option unchecked.
Then insert the required data into the ‘User name’ and ‘Password’ fields.

Finish

That’s all! Press the ‘Finish’ button to complete your setup.

Please send a test mail via the test mail button to verify your setup.

In the Pro version please also send a SMS email (as described above) and do a IMAP query to check that IMAP is configured properly too.

Preferences

Service enabled

With this checkbox you can enable or disable SmsToMailbox.
If SmsToMailbox is configured properly, the service is enabled by default. If fatal errors occur SmsToMailbox will disable itself, e.g. if you use a false password. You’ll then need to resolve the issue and re-enable the service with this option.
Threaded view

By activating this option the mails sent from SmsToMailbox are sent in a way that allows threading. This works with common email applications. Also threading aware email webmailers like GMail will display the messages in threads then.

For GMail you can also set an additional option to start a new thread for each conversation daily.

Service settings

Start service on boot

Start SmsToMailbox at boot time

This setting is only effective if the service is enabled at all. (default: enabled)

Disallow roaming

Make SmsToMailbox to not allow roaming even if data roaming is actually enabled with your phone. This can be used as security precaution to hinder that SmsToMailbox is connecting while you are roamed. This option relies on the roaming information it get’s from the Android™ system. (default: disabled)

Status bar options

Display icon

It is highly recommended to leave this enabled!

Forwarding options

Forward SMS
Forward SMS as mail

Forward MMS

Forward MMS as mail with multimedia attachments.

(This function uses undocumented internal API functions of Android™ and therefore may not work on all devices or on future Android™ versions.)

Forward phone calls
You get an email with the caller number & name (if the number was found in your contact database).

Forward outgoing events (Pro version only)

You get an email when you start an event on the phone (sent an SMS/MMS or start an outgoing call) . This options depends that you have enabled the forwarding of the event (SMS/MMS/call note), see the three options above.

Forward camera images (Pro version only)

Forward camera images as emails. Please take into account that this implies a certain amount of data to be transferred depending how many camera images you create and their size.
Attach location
Attach approximate location as link and Google Earth file (default: disabled)

This feature attaches the location at which the SMS/MMS/call was received.

Pro version only: choose if the location link or Google Earth file only or both should be added

Attach date

Configure if the event dates are added to the email body (default: enabled)

Reply warning text (Pro version only)

Add a reply warning text to the message body stating that you should remove all original content from the mail before sending a reply. (default: enabled)
For advanced users you may disable this warning.
Calendar posting (Pro version only)

Configure a calendar and enable the calendar posting if you would like to have the events not only sent as mails but also posted to your Android™ phone’s calendar. (default: disabled)

Second TO address (Pro version only)

Allows you to add and enable a second
email address which SmsToMailbox Pro will send emails to.

Retry options

Herein you can configure different options on how SmsToMailbox handles the resending of failed mails containing SMS/MMS/call notes and images (Pro version only) where the transmission has failed:

You can set the retry interval for re-sending mails (default: 15 minutes). This interval defines how long it takes until SmsToMailbox will retry to re-send the mails.

It’s also possible to configure how many days failed mails are kept for later retransmission before the mails are finally discarded. This option only applies if the message has not been already discarded due to its retry count (see below).
You can also configure how often SmsToMailbox should retry to re-send mails. This retry count option can be configured separately for different types like SMS&status mails ( incl. call notes) / MMS and media. The retry count handles how often a retry will be executed for a special type of mail. This is a security precaution to hinder that for instance failed mails containing large images are being continuously resent which would cause large traffic volumes.

SMTP timeout

Let’s you configure the timeout after which an unfinished SMTP (email sending) session is treated as times out.

Answering options (Pro version only)

Warn on low battery

Left your phone in the car? Still answering SMS via SmsToMailbox Pro? Wondering that after many replies suddenly no more replies are coming in… Then you’re probably ran out of battery and didn’t noticed. Enabling this feature will inform you when your phone drops below 15% of battery power…

IMAP query options (Pro version only)

IMAP query frequency non-AC

The frequency of IMAP queries on non-AC defines how often SmsToMailbox Pro will search for newly sent SMS mails in your mailbox while the phone runs on battery.

You can configure interval times from 2 minutes to 6 hours. This can also be disabled here. (default: 5 minutes)

When setting this frequency lower please mind your battery power and mail account’s restrictions in means of how often you are actually allowed to query!

For your information: you always have the opportunity to initiate a manual query of your mailbox from the SmsToMailbox main screen. Just push the button ‘Query email-box for pending SMS mails’.

IMAP query frequency AC

The frequency of IMAP
queries on AC defines how often SmsToMailbox Pro will search for
newly sent SMS mails in your mailbox while the phone is plugged on AC.

You can configure interval times from 1 minute to 6 hours. This can also be disabled here. (default: 5 minutes)

When setting this frequency lower please mind your mail account’s restrictions in means of how often you are actually allowed to
query!

For your information: you always have the opportunity to initiate
a manual query of your mailbox from the SmsToMailbox main screen. Just
push the button ‘Query email-box for pending SMS mails’.

Expunge inbox

Removes all as ‘deleted’ flagged mails form the inbox after a query. (default: disabled)

Some mail providers leave deleted mails in the inbox if you want to get rid of them please enable this option. Please pay attention that this option also deletes mails permanently which you have flagged deleted from other clients.

Second FROM address

Allows you to add and enable a second email address which SmsToMailbox Pro will accept SMS-emails from. That is for instance useful if your default sending address differs from the email address you have configured with SmsToMailbox Pro. Please take into account that the recipient address of the SMS-emails still need to be the main email address you have configured with SmsToMailbox Pro.

IMAP timeout

Let’s you configure the timeout after which an unfinished IMAP (email account query for new SMS-email) session is treated as times out.

Save sent SMS

Save SMS sent via SmsToMailbox in the messaging application (default: enabled)

Note on SMS sending

Get a notice via email as soon as a SMS was send (default: enabled)

Delivery note

Get a delivery notice via email as soon as a recipient has actually received the SMS from you (default: disabled)

Prefer mobile number
If for a given name multiple numbers are found the contact’s mobile number will be preferred, that is the outgoing SMS email will be send to the contacts mobile number (default: enabled)
Send to contacts only
Allow sending of SMS (from your email account) to known contacts from your phone book only (default: enabled)
This is a security feature that spammers couldn’t use SmsToMailbox Pro to send SPAM SMS via your phone! If you are confident with your SPAM filter you can disable this setting.
Mark thread as read
With this option you allow SmsToMailbox Pro to mark the whole conversation thread with a single contact as read in the Android™ messaging app once you’ve sent out a SMS to this contact via SmsToMailbox. Please take into account that actually the notifications on incoming SMS&MMS will probably not vanish. However the conversation thread itself will get marked as read in your messaging application. (default: disabled)
Maximum allowed size

This option lets you configure the maximum size of a SMS in character which SmsToMailbox Pro will sent out. If the size of the SMS-email body is above this limit you will get informed by a separate email that the message wasn’t sent. This option is in place to hinder the sending of a huge SMS-email as many separate SMS texts which – if you do not have a SMS flat – could cause high dues.

Remove line breaks

With some IMAP mail providers it can happen that additional line breaks are inserted into the SMS after around 70 characters. If you are affected by this you can tell SmsToMailbox Pro to remove line breaks before sending SMS. If you then would like to insert a line break into your outgoing SMS you need to insert two line breaks at once in the SMS-email.

Manual server setup

Email address

The email address to which the SMS/MMS and phone call notices will be forwarded.

In Pro Version: This is also the account you send your outgoing SMS from.

SMTP settings

SMTP server
Hostname of your outgoing mail server
SMTP uses SSL

Select if a secure connection should be used for SMTP and your email provider supports this.

SMTP use TLS if available (default: enabled)

When using a non SSL connection SmsToMailbox will still try to secure the connection if this option is available at your mail provider. You can leave this enabled. Only disable if you’re facing problems with STARTTLS.
SMTP port
Port on which your mail provider’s SMTP server listens for connections.
SMTP user
User name for your outgoing mail server. (default: your email address)
SMTP password
Password of your outgoing mail server.

IMAP settings (Pro version only)

IMAP server
Hostname of your incoming mail server
IMAP uses SSL
